Who answers my questions?

All emails to office@sfwa.org go to Misha Grifka Wander, the Office Coordinator. From there, they either answer the questions or send them to someone who knows the answer better. Misha answers questions during business hours, which are 10 – 6 Eastern, 7 – 3 Pacific, Monday through Friday. While sometimes he can take a bit to answer individual queries due to the volume of correspondence, feel free to check in if you have not received a response in a few days.

How to modify your profile

Your profile is available here. If you click on that link and it takes you to a page with a username that starts “wa_”, this is an artifact of our old membership management system. Please feel free to email the office if you see this on your profile.

You can make many changes to your profile through Profile > Edit. You can also change visibility for many of your data points (some are secured so that you cannot accidentally share them) by going to Settings > Profile Visibility. For many fields, you can decide if you want to make the information available to the general public, only to other members, or only to yourself. That first category will show up to anyone who searches for your name on the site OR if you are the Featured Author of the day. Our Featured Author service is opt-in, so you will never be promoted without your permission.

Your profile contains personal information, social media and author bio details, and your Author Coalition Survey answers. These are gathered as they appear every December 31, so please make sure that yours are up-to-date.

Where did my old profile go?

When we transferred to a new membership management system, we were not able to transfer all of the user information. That information is stored, but would require a lengthy manual entry process to restore. We are working to make time for that, but in the meantime, consider re-filling out your profile, especially the ACA section as SFWA depends on that information for funding.

How to connect to Discord from SFWA.org

In your Membership Profile, under Membership > Info, you will find a Discord login button. If you do not have a Discord identity associated with your email, you will be invited to register one to continue to the SFWA Discord channel. There, Mods may change your name if it does not match your visible name in the member directory.

So do we have a Membership Directory again?

Sort of! The original form worked for years, until a SFWA member abused their access and used the directory to spam fellow members. Data security is our number one concern with the new version. Through your Membership Profile, you can now reach out to and send friend requests to fellow SFWAns on the site, through the Friends tab, which has an active search function for all site users. As we develop this site, we will explore member segmentation to help SFWAns connect with editors, agents, journalists, and other professional working groups – but with guard rails in place to allow all SFWA members to decide the level of exposure they want in this network.

There are still some glitches in the system, so we do not advise requesting email notification for follow-ups. At present, email notifications arrive cluttered with HTML. Instead, you can check for notifications in the upper right hand corner of your screen when logged in, or through the Notifications tab on your profile.

How does the new Forum work?

We’ve relaunched a more streamlined Forum on SFWA.org, as you can see from the topic list lower down on this page. Our new Forum includes topic threads to ask questions of the Board and Office, and key topics for SFWA Elections.

Because we were scattered across many sites for a few years, it was easy for SFWA resources to scatter and become overlooked over time. As we centralize services and members on SFWA.org, we have an opportunity to rethink the best way to host different conversations and keep relevant materials current. While Affinity Groups and other niche channels discuss a range of important genre topics on our Discord, we are gradually building out resources libraries here on SFWA.org to match the conversation. Our hope is to keep our resource libraries and discussion spots active and well-defined, going forward.

Action Items

Note: Before renewing, check that you need to renew by looking at your profile and your membership expiration date. Some members have reported receiving renewal reminders when they were still in good standing – the Office is working on resolving this.

Our new system allows automatically renewing memberships, so you don’t have to remember to do it by hand. However, when your membership next comes due, you must do the following:

Decide if you are continuing at your current membership level or applying for a change. You may be an Associate who wishes to become a Full member, or a Full member on a family plan who now needs to turn the account to an Estate.

If you are applying for a change in status, please fill out our application form.

If you are continuing at the same membership level, go to www.sfwa.org/plans/transition-year/. You will be brought to a payment site. Fill out your information, and you’re good to go!

Do not share these materials with anyone else, because it breaks the trust we have with the authors and publishers, who have given us access in good faith. More reading materials may be added to the folder as they become available. If you have questions about or difficulties with any of the files, please email office@sfwa.org.
